At ProjectX, we prioritize your privacy and are committed to protecting your personal and financial information. This Privacy Policy explains how we collect, process, and handle your data when you use our AI-powered expense logging automation service.

1. Anonymous Identification & Anti-Profiling Policy (NanoID)

To protect user privacy and strictly prevent data profiling or tracking, ProjectX does not store or process personal names on our underlying automation platforms.

Randomized NanoIDs: We use NanoID to identify user records without relying on PII (Personally Identifiable Information).
Decoupled Identity: By using NanoIDs, your personal identity remains decoupled from your expense records and transaction logs across our system.
No Profiling: We do not build behavioral profiles, track user identity across third-party networks, or aggregate individual financial habits for marketing purposes.

2. Information We Process

To provide automated expense logging, ProjectX processes the following inputs sent via our Telegram interface:

System Logs: Anonymized execution metrics and monthly transaction counters mapped to your NanoID.

Transaction Details: Plain text spending notes, payment messages, transaction queries, amounts, dates, and merchant names extracted from your expense submissions.
Receipt & Statement Images: Photos of physical receipts, digital wallet receipts (e.g., KBZPay, AYAPay), uploaded bank or credit card statements, and any textual context provided during expense logging to improve AI categorization.

3. Third-Party Service Providers (Sub-Processors)

ProjectX relies on hosted, enterprise-grade cloud platforms to execute backend processing. By using ProjectX, you acknowledge that data is processed through third-party services, including but not limited to Claude AI, Google Gemini AI, Grok AI, n8n, OpenAI, and Zapier.

A. Automation Infrastructure

Role: Operations management and workflow automation.
Data Handling: Acts as the primary conduit for processing automated workflows.
Retention: Data is stored temporarily during processing and purged following successful execution.

B. AI Data Extraction

Role: Natural language processing for receipt data extraction and categorization.
Data Handling: Receives expense-related text strings for parsing.
Retention: Our third-party API ensures that user data is not used to train global AI models and is deleted post-inference.

4. Data Storage & User Ownership

Private Ledger Integration: Final data destination is determined by the user (e.g., your connected Google Sheets, Notion, Airtable, Odoo). Extracted transaction data (amounts, dates, descriptions, categories) is appended directly into your own private database or Google Sheet.
No Permanent Centralized Storage: ProjectX does not maintain a permanent database of your historical financial transactions containing your receipt images or expense history. We function as a secure relay.
User Control: You retain 100% ownership and control over your data at all times. You may edit, update, or delete transaction entries or rows at any time.

5. Data Sharing & Security Boundaries

We never sell, rent, trade, or commercialize your personal information, raw receipt images, or expense entries to any third party.
Data is transmitted securely via HTTPS/TLS encrypted connections across all API endpoints.
